After a contract is signed, we schedule an onboarding session — typically 60 to 90 minutes — with the business owner or operations lead. This session follows a structured protocol that collects everything we need to configure the system: your services, your scheduling rules, your geographic coverage, your average call types, your escalation preferences, your CRM credentials, your calendar system details, your brand voice, and the questions your callers ask most frequently.

We do not ask open-ended questions. We have a documented intake process built from hundreds of deployments across dozens of verticals. We know what we need, we ask for it specifically, and we take notes that feed directly into the configuration process. The client does not write scripts. They answer questions. We build.

Configuration, integration, and testing: hours, not weeks

Following the onboarding session, ZOVOX’s configuration team builds the AI voice agent against the collected requirements. For a standard COMMUNICATE deployment, this includes: training the voice agent on your business context, writing and testing all call flows, configuring the appointment booking integration, connecting your CRM, setting up the dashboard, and running internal test calls against every documented scenario.

This typically takes 12 to 24 hours. We then send the client a review package — recordings of test calls, the configured call flows, and a brief onboarding document. The client reviews, provides any feedback, and approves. We implement the feedback and prepare for go-live.

Go-live: a single call forwarding change

For most clients, going live requires a single configuration change: updating your call forwarding settings to route calls to the ZOVOX system. This takes less than five minutes and does not require any technical expertise. Your existing phone number stays the same.
